Rental Terms
All vehicle rentals are governed by a comprehensive Rental Agreement that you will receive upon booking confirmation or at the time of vehicle collection. This agreement outlines specific terms, conditions, insurance information, charges, and your responsibilities for the rental. In the event of any discrepancies between these Terms and the Rental Agreement, the Rental Agreement will prevail.
Eligibility Criteria
Rental Vehicle Requirements
- To hire a vehicle, you must be at least 21 years old, although age restrictions may differ depending on the vehicle category. Those under 25 may incur additional charges. You are required to possess a valid driving licence suitable for the vehicle type, held for the minimum duration outlined in the Rental Agreement. Valid identification and proof of your current address must also be provided, along with payment information and a security deposit. Lastly, any extra requirements stated in the Rental Agreement must be met.
3. Reservations and Payments
- Reservations can be completed via our website, over the phone, or directly at our Pontypool office. A deposit may be necessary to confirm your booking. The remaining balance and a security deposit are generally payable upon collecting your vehicle. All prices are listed in British Pounds (£) and include VAT where applicable. We accept major credit and debit cards, with secure processing through trusted payment providers.
Vehicle Pickup and Drop-off
- At the time of vehicle collection, it is essential to conduct a thorough inspection and promptly report any pre-existing damage. A vehicle condition report will be generated and must be signed by both parties. The vehicle should be returned in the same condition as received, accounting for normal wear and tear. Any new damage identified will be evaluated and charged as necessary. Ensure that the vehicle is returned with the same fuel level as when collected; otherwise, refueling charges will apply. Late returns may result in additional fees, so please communicate with us as soon as possible if you anticipate a delay. You will be held responsible for any parking fines, traffic violations, or other charges incurred during the rental period, along with an administrative fee.
5. Coverage and Responsibility
- All rentals include basic third-party insurance. Detailed coverage information and excess amounts are outlined in the Rental Agreement. Additional insurance options may be offered to lower your financial exposure. It is advisable to review these options thoroughly. You remain liable for damage or loss up to the insurance excess unless you have opted for extra coverage. Any damage resulting from negligence or misuse is your responsibility, regardless of insurance status.
6. Modifications and Cancellations
Cancellation and amendment policies are determined by the type of booking and the notice provided. For precise information, please review your booking confirmation or Rental Agreement. Be aware that late cancellations or no-shows may incur additional charges.
7. Restricted Activities
Prohibited Vehicle Uses
- The vehicle must not be used for any unlawful activities. This includes racing, rallying, off-roading, or engaging in any dangerous practices. Transporting hazardous materials is prohibited. Additionally, sub-letting the vehicle or allowing unapproved drivers is not allowed. Driving under the influence of alcohol or drugs is strictly forbidden. The vehicle should only be used for its intended purposes, and it is important to adhere to passenger and weight limits. Driving beyond the agreed geographical boundaries without prior authorization is prohibited.
Breach of these terms could lead to rental cancellation and extra fees.
8. Liability Limitations
To the fullest extent allowed by English and Welsh law, Car Hire Pontypool will not be responsible for any indirect, incidental, special, or consequential damages, including loss of profits, data, or business resulting from your use of our services. Our maximum liability for any claim is capped at the rental fee you paid in the past 12 months. This limitation does not apply to liability for death or personal injury due to negligence or fraud.
9. Applicable Law
These Terms are governed by the laws of England and Wales. All disputes will fall under the jurisdiction of the relevant courts in these regions.
Updates to Terms
We can update these Terms at any time. Changes take effect immediately upon posting on our website. Continued use of our services indicates your acceptance of the revised Terms.
